Rights and Contracts Associate
Guilford Press has an immediate opening for a Rights and Contracts Associate.
The Rights and Contracts Associate—in collaboration with editorial, production, and fulfillment teams—prepares and manages the company’s publication contracts, from signing through book or product completion. The position manages permissions, files copyrights, and oversees the Library of Congress cataloging process for all Guilford publications, in a timely and efficient manner. The position inputs contract data into company’s title management systems accurately and efficiently and maintains all relevant records.
Responsibilities
- Issue book contracts, amendments, releases, chapter agreements, and other relevant documentation using DocuSign.
- Collaborate with acquisitions editors, authors, and other publishing partners to ensure all contractual paperwork is accurate and up to date at all stages of the publishing process.
- Research and problem-solve when unusual contractual issues arise.
- Manage advance and grant payments, contributor fees, and comp copies for edited books.
- Enter all new titles into title management system and maintain contracts database and physical files.
- Terminate discontinued contracts and recoup advances.
- Establish tracking and review protocols to ensure timely copyright registration and Library of Congress cataloging for approximately 75 publications per year, and manage and maintain all relevant correspondence and records.
- Research and secure copyrights and permissions for Guilford titles, arrange copyright transfers for authors in Guilford’s journals program, and maintain accurate centralized permissions files.
- Manage the collection of information for Statements of Ownership.
- Maintain accessible systems and reporting methods for tracking all projects.
Requirements
- Superior organizational, interpersonal, and problem-solving skills
- Ability to prioritize duties with attention to detail in a deadline-driven environment.
- Understanding of requirements and responsibilities when handling confidential materials and information.
- Ability to communicate effectively both internally with Guilford teams and externally with Guilford authors and partners, and government agencies.
- Strong computer literacy and experience with TM, Word, Excel, Adobe, DocuSign, and Acumen.
- Scholarly publishing experience and a deep knowledge of book contracts and the general publishing process is preferred.
Guilford Press is a New York City-based company that has embraced hybrid work arrangements. This position is based out of our midtown New York City office. Being available for in-office work on an ongoing, weekly basis is a key component of this position.
The pay range for this position is $50,000 to $65,000 annually, with a hiring salary dependent on skills and experience.
